    3 KPIs for team leaders

Is this you?

Have you noticed a decline in the quality of your work lately? Those activities where you once thrived, the very core of your success, now seem like insurmountable obstacles. It's likely that the ever-evolving business landscape and pressures of staying competitive are catching up with you, disrupting the smooth rhythm and flow you once effortlessly maintained. Increased friction from multitasking and the constant challenge of jumping from one unfinished task to the next have overshadowed the joy of doing what you do best, leaving you overwhelmed by incomplete thoughts and doubts.

Quality Lost: Multitasking's Toll on Your Work Performance

In today's fast-paced business world, multitasking is often praised as a critical skill. However, this practice comes with hidden dangers that can undermine productivity, quality, creativity, and even mental well-being.

In this article, I share a personal journey of building what our team, together with our clients believe to be the most logical and efficient task management methodology for today's growth-focused business leaders.

Our approach identifies and eliminates common pitfalls where leaders frequently lose control of their workday by addressing three key challenge areas:

  • 1.Inefficient utilization of the Plan-Do-Check-Act (PDCA) change cycle
  • 2.Reluctance to prioritize proficiency in knowledge retention, ensuring information is readily accessible to those who need it
  • 3.Neglect in categorizing work into the three essential 'empire builder' categories: run-the-business, fix-the-business, and change-the-business (aka grow-the-business) activities

With 17 years in change management across multinational organizations before transitioning to software engineering, I can attest that the framework mentioned above cannot rely solely on paper or offline tools. Today's leaders must embrace robust technology and its disciplined daily usage to significantly enhance problem-solving and decision-making processes.

How Multitasking Undermines Your Physical & Mental Health

Multitasking, despite its widespread endorsement, is fundamentally a myth. Research consistently shows that human brains are not wired to handle multiple tasks simultaneously. Instead, what we often refer to as multitasking is actually rapid task-switching, which carries significant cognitive costs.

Although the list is long regarding the costs of multitasking, we've observed time-and-time again the following three primary expenses that consistently plague businesses due to poor task management standards:

Reduced Efficiency and Quality: Studies have demonstrated that shifting attention between tasks can reduce productivity by up to 40%. Each switch forces the brain to reorient itself, leading to slower progress and increased likelihood of errors.

Cognitive Overload: Constantly switching tasks taxes the brain, leading to mental fatigue and decreased cognitive function. Over time, this can impair decision-making and creative thinking.

Stress and Burnout: Juggling multiple responsibilities simultaneously often leads to elevated stress levels. Persistent stress can contribute to burnout, negatively impacting both personal health and professional performance.

Why Business Leaders Struggle with Multitasking

Despite their critical roles, many business leaders are not adept at multitasking. This is not due to a lack of effort but rather the inherent complexity of their responsibilities combined with their limitations in what should be simple task management.

Effective leadership demands strategic thinking and problem-solving, tasks that require deep, uninterrupted focus. Multitasking detracts from the ability to engage deeply with complex issues, leading to superficial solutions.

Furthermore, leaders are often faced with high-stakes decisions that require thorough analysis and careful consideration. Multitasking can lead to rushed decisions based on incomplete information, which can be detrimental to the organization.

Emotional and social intelligence also play a big factor as leadership also demands crisp, on-your-feet decision making when managing relationships and navigating social dynamics. Multitasking can impair a leader's ability to fully engage in interpersonal interactions, reducing their effectiveness in managing relationships.

Furthermore, in a landscape constantly flooded with new tools and solutions, coupled with ongoing changes, upgrades, and performance issues in your current IT infrastructure, technological challenges can become significant distractions. Decision-makers, many in the later stages of their careers with limited technological expertise compared to lower-level staff, often find themselves bogged down in these technical complexities. This drains their concentration and enthusiasm, hindering efficient task-switching.

The High Stakes of Inefficient Multitasking

The cost of inefficient multitasking extends beyond individual productivity; it impacts entire organizations. Inefficient multitasking can lead to missed deadlines and overlooked opportunities. In today's competitive landscape, missing out on critical opportunities can have severe ramifications. Furthermore, innovation requires a combination of focused effort and creative thinking, and the constant distraction of multitasking stifles creativity, hindering innovation and progress.

As software developers, deep flow concentration is crucial from the design phase to coding, all the way through to the testing and release phase. Historically, some of our most costly development mistakes, where we built features that were later removed or redesigned, were attributed to a lack of concentration.

Leaders who struggle with multitasking may inadvertently set a precedent for their teams, fostering a culture of busyness rather than productivity. This culture can be contagious, leading line workers to prioritize quantity over quality. Such an environment results in widespread inefficiency and low morale, with detrimental effects rippling through the organization, stalling growth, and diminishing overall effectiveness.

Leveraging Automation to Enhance Your Concentration

Given the drawbacks of traditional multitasking, the solution lies in leveraging technology to streamline and automate tasks wherever possible. Leaders who continue to overlook this reality or try to do so without investing the adequate resources are setting themselves and their companies up for widespread failure.

Business Management Systems like our own Presto P-D-C-A offer a powerful means to transform how leaders and their teams manage their responsibilities.

Presto P-D-C-A allows users to manage hundreds of tasks across various stages of the PDCA (Plan-Do-Check-Act) cycle. Its intuitive dashboard ensures that all activities are organized and easily accessible, reducing the cognitive load associated with tracking multiple projects.

Regaining Control with Presto PDCA

As a business leader, my experience building Presto P-D-C-A has been transformative. Our small team manages clients of all sizes in multiple time zones with hundreds of open activities in various stages of the P-D-C-A cycle without feeling overwhelmed.

The ability to pause activities for days, weeks, or even months and then resume them without losing any of the previously acquired knowledge has provided us with unparalleled peace of mind. This capability allows us to confidently put things on hold, knowing we will not lose the know-how acquired, and pick up exactly where we left off when we decide to recommence, as if we had never stopped in the first place.

Unexpected opportunities and issues no longer derail our workflow or send us into crisis mode.

The platform's dashboard and reporting features ensure that we never lose sight of our priorities. This level of organization and control has allowed us to maintain high productivity and focus, even amidst the complexities of our responsibilities.

Presto P-D-C-A gives us a top-down big-picture view that is essential for making quick tactical decisions and prioritizing issues effectively. This clarity and confidence allow us to go home each night knowing exactly what tasks our team will start tomorrow morning, enabling us to switch off and recharge. Poor multitasking, on the other hand, leads to high stress levels due to the burden of uncertainty about tomorrow's task list that one takes home on their shoulders.

Embracing the Art of Wearing Multiple Hats in Today's Business World

In today's dynamic business environment, leaders often wear multiple hats, rapidly switching roles and tasks. For this approach to be effective, companies must acknowledge and support this multifaceted approach within their business operating model. Building a framework that accommodates and optimizes multitasking is crucial. It ensures that leaders can transition smoothly between responsibilities, leveraging the tools they need to maintain clarity, productivity, and effectiveness across all fronts.

The dangers of multitasking are real and significant, but they do not have to dictate your productivity and success. By leveraging automation tools and dedicating the necessary time to learn to use them properly and integrate them into your daily routine, you can transform multitasking from a chaotic and inefficient practice into a structured and focused approach. This not only enhances individual and organizational productivity but also fosters a healthier, more sustainable work environment.
