Role Allocation.

Clarify who does what inside each team by linking the right people to the right roles. Administrator users manage role allocation through the Operating Model Builder, creating a practical operating model that supports accountability, governance and meaningful job descriptions across the organisation.

A Administrator feature: role allocation can be maintained by Administrator users; Super Admin access is not required.
1. Open Operating Model Builder
Access from the PDCA dashboard Step 1

Launch the role-allocation workflow.

The first image shows the exact place where the feature is accessed. Open the relevant team from the dashboard and use the Operating Model Builder option to begin configuring the team structure.

  1. 1
Open the dashboard team view Locate the team you want to configure from the dashboard area.
  2. 2
Open the team action pop-up Use the team information area to reveal the available team actions.
  3. 3
Select Operating Model Builder This opens the workspace used to assign contacts and map them to roles.
TIP
Use this feature when setting up or refining a team's structure.

It is especially useful when creating a new team, onboarding staff, or clarifying who holds which responsibilities inside the team.

Steps 2 to 4

Drag people into the team, drag roles onto the people, then save.

Think of the centre of the Operating Model Builder as your drop zone. Drag people from the left into the centre, then drag roles from the right back onto those people in the centre.

Main configuration screen

Complete the team operating model in one workspace.

The second screen is intentionally built around drag and drop. First, find a person in the Company Directory on the left, click and hold them, drag them into the Team Leader / Staff Members area in the centre, and release. Then find the required role in the Role Library on the right, click and hold it, drag it back onto the correct person in the centre, and release.

  2. 3
Drag roles from RIGHT → CENTRE Search the role library on the right. Click and hold the required role, drag it back across the screen, and drop it onto the correct person in the central Team Leader / Staff Members area. If the role does not exist, use Create New Role.
  3. 4
Save your changes Use the Save button in the top-right of the screen to confirm the updated team structure.
BEST
Remember the motion: PEOPLE IN from the left. ROLES IN from the right.

Both actions finish in the same central Team Leader / Staff Members area. Once the people and their roles look correct, use Save to confirm the operating model.

Why it matters

Why good role allocation strengthens your operating model.

Allocating roles clearly helps teams understand responsibilities and gives managers a stronger governance structure across projects, tasks, job descriptions and reporting.

01

Clear team structure

Everyone can be connected to the right team with the right role, reducing ambiguity and helping others understand who does what.

02

Better governance

A clean operating model supports clearer ownership, stronger role visibility, and more intuitive organisational management.

03

Easier maintenance

By creating missing contacts and roles on the fly, administrators can keep the organisation structure up to date without breaking their workflow.

With people connected to the roles they perform, the team has a clearer operating model and stronger accountability structure. Continue to Managing Contacts to keep the underlying people and contact information accurate and useful.
