Archiving Staff.

A two-part process for removing people from active teams while handling their history correctly.

Archiving a staff contact begins by removing the person from their active team allocation. If they are not assigned anywhere else, they become Unassigned. From there, an Administrator can decide whether to preserve the contact as part of the team's history or remove the contact from the Company Directory.

Part 1

Remove the person from the team.

Use Staff Actions to remove the contact from the selected team. If that contact has no remaining team allocations, Presto places the person in Unassigned Staff.

Part 2

Archive the unassigned contact.

Open Unassigned Staff, select Archive, and choose whether the contact should remain visible as part of the team's history or be removed from the Company Directory.

Part 1 • Access Staff Actions

Open Staff Actions for the team the person currently belongs to.

Start exactly as you would when managing a contact. Open the relevant team from the Organizational Chart and select Staff Actions.

Find the active allocation

Begin with the team relationship that needs to end.

Select the team where the person is currently allocated and open Staff Actions. This gives you access to the team members and the controls used to change their team membership.

Opening Staff Actions does not archive anyone.

This first part is about ending the person's active team allocation so that the contact can move into the Unassigned Staff workflow when appropriate.

Part 1 • Remove From Team

Remove the staff member from the selected team.

Use the Remove From Team control on the relevant staff record. This removes the team allocation; it does not yet archive the contact.

End the current team allocation

Select Remove From Team.

Locate the correct person in the Staff Actions panel and click Remove From Team.

    Confirm the correct person Make sure you are removing the intended staff member from the intended team.

    Click Remove From Team This ends the person's allocation to this team.

    Check whether other team allocations remain If the person still belongs to one or more other teams, they remain allocated there and will not become Unassigned.
NOTE
Only contacts with no remaining team allocations become Unassigned.

If the person belongs to another team, removing them here simply removes this one team relationship. Part 2 only applies once the contact is genuinely unassigned.

Allocated Staff Member The person currently belongs to one or more active teams.

Part 2 • Unassigned Staff

Open Unassigned Staff and select Archive.

Once the contact has no active team allocation, use the Unassigned Staff panel to complete the archiving process.

Find the unassigned contact

Move from team management to contact disposition.

Select Unassigned Staff from the top navigation. In the slide-out panel, locate the contact you want to archive and click the Archive button beside that person.

    Open Unassigned Staff Use the Unassigned Staff command in the Org Chart administration header.

    Locate the contact Find the person who is no longer allocated to any active team.
  3. 3
    Click Archive This opens the final decision panel rather than immediately removing the contact.
Final Decision

Decide what should happen to the contact record.

Presto gives the Administrator two different ways to handle the inactive contact. Choose the option that best reflects whether the person's organizational history still needs to remain visible.

Preserve history or remove completely

These two options have different purposes.

After selecting Archive, review the final confirmation panel carefully. The choice determines whether future users can still see that the contact previously belonged to the team or whether the contact is removed from the Company Directory.

Archive Contact to This Team

Use this when you want future users to retain visibility that the contact was previously part of this team and associated with the projects and work within it.

Remove Directory Record

Remove Contact from the Company Directory

Use this when the contact should be removed altogether from the Company Directory rather than retained as a historical team contact.

Removing from a team and archiving a contact are not the same action.

Part 1 changes the person's active team allocation. Part 2 determines how the now-unassigned contact should be retained or removed. Keeping these two decisions separate protects the organizational history while giving Administrators control over the Company Directory.

The staff record has been handled appropriately.

Once inactive staff contacts are managed correctly, continue to Archiving Teams. That process is handled separately because archiving an entire organizational unit has different governance implications and requires Super Administrator access.
