Managing Contacts.

Keep your people information accurate, useful and easy to maintain.

Use Staff Actions to manage the people connected to each team, then open Manage Contact whenever you need to update the underlying staff record. Keeping this information current improves ownership, communication, reporting and future task and KPI workflows.

Step 1

Open Staff Actions from the Organizational Chart.

Find the team you want to manage and use the Staff Actions command to open the panel containing its team leader and staff members.

Access the staff-management tools

Staff Actions is your starting point.

From the Organizational Chart, open the relevant team and select Staff Actions. This gives you direct access to the people currently associated with that team.

    Locate the team Choose the team whose people or contact records you want to review.

    Open Staff Actions Select Staff Actions from the team controls to open the management panel.
TIP
Think of Staff Actions as the team-level people-management panel.

From here you can add people, remove people from the team, change allocations and open the detailed contact record for an individual.

Use Staff Actions to manage the selected team.

The Staff Actions panel combines team membership controls with quick access to each person's detailed contact information.

Team-level controls

Manage people without leaving the team context.

The Staff Actions panel lets you work directly with the selected team's leadership and staff population. Use the available controls to keep the structure and allocations current.

Add Staff Member

Add another person to the selected team.

Manage Contact

Open the detailed contact record for the team leader or staff member.

Remove From Team

Remove a person from this team without necessarily deleting the contact itself.

Save Allocations

Confirm changes to planned or actual staff allocation values.

KEY
Removing someone from a team is not the same as deleting the person.

A staff member may still exist elsewhere in the organization or be associated with another team. Use Manage Contact when the underlying person record itself needs to be updated.

Step 3

Open Manage Contact to maintain the person's detailed record.

The contact-information panel holds the individual data that helps Presto identify, place and engage the staff member correctly.

Maintain the underlying staff record

Keep the information people rely on accurate.

Use the detailed contact screen when a staff member changes role, location, title, contact information or other profile information. The aim is not to complete every field for its own sake; it is to keep enough accurate context for colleagues and Presto workflows to understand who the person is and how they fit into the organization.

GOOD
Review the record when somebody changes team, role or responsibility.

Small updates made at the right time prevent stale organizational information from spreading into task assignment, KPI ownership and reporting.

Team Membership Ensure the person is represented in the teams that accurately reflect their work.
Role & Title Maintain useful organizational context so colleagues understand what the person does.
Location Associate the individual with the appropriate country, city, site or office.
Contact Details Maintain usable email, telephone and other communication information where applicable.
Contract Information Use contract type and related employment information where this forms part of your company setup.
Role Allocation % Keep planned and actual role allocation information current when your organization uses this capability.
